Pinned FeaturedHere are some basics to help monitor orders and inventory:
When entering a Sales Order Item - find the Show Availability Data in the upper right corner and drop down to Qty on Hand then hit search. This will show you what is on the shelves
Sales Orders that are Saved have not started the packing and shipping process. One of four things causes this:
1. We haven't tried to process it yet
2. We tried to process it but its did not allow partial shipment and we don't have everything
3. It did allow a partial shipment but we had none of the items on the order
4. You have entered items on the order but they have a Zero quantity
Sales Orders that are In Progress mean that they were Allow Partial Shipment and we had some of the items but not all. Therefore, a shipment has been created and an SI# has been assigned. Note, if we void a shipment the SO can still show in progress since we began the order. You may view the Shipment and look for the Voided Status as Yes or No to determine.
You can easily filter out In Progress orders by going to the Sales Order page and changing the Drop down filter to Status then saved. Note, the default search is set at 90 days but can be changed by clicking on the magnifying glass (advanced filter)
Sales Orders that are Closed mean 1 of 2 things:
1. We began processing the order and all of the inventory was available. Therefore, a shipment has been created and an SI# has been assigned.
2. The Sales order was Closed without creating shipments for some or all of the items. You may see what has been applied to the Sales Order by opening it on the Sales Order page. An example would be that you created an Allow Partial Shipment order with 20 items on it. We had 19 of them so a shipment was created for them. 1 remains pending and the Sales Order is In Progress. The customer decides they don't want the last one. The order is Closed without shipping the remaining item so that if one does eventually come in, then we do not ship it.
To check Shipments that have not left the building follow these steps:
1. Go to Fulfillment the View Shipments -Note, the default search is set at 90 days but can be changed by clicking on the magnifying glass (advanced filter)
2. Click on the magnifying glass (advanced filter)
3. Check the box next to Tracking Number and change the drop down to "Is Empty"
